This page includes general information about registering for our winter conferences. If you are accepted to the conference, you will receive an acceptance email. Please refer to your acceptance email (or login to your account here) to register for the conference and to access your hotel booking links and discount codes.
Winter Registration and Hotel Information
Registration
Registration fees for Winter 2023-2024 are $600 per person.
Everyone, including organizers and invited speakers, must pay the registration fee. This fee is refundable if you cancel before 30 days before the start of the conference. It is non-refundable with less than 30 days notice. No food is included in this fee.
Hotel Reservations at the Aspen Meadows
The Aspen Meadows Resort has a block of rooms for each conference. They may sell out quickly, so we recommend booking your lodging as soon as you are able.
The 2024 rates for the Aspen Meadows Resort are as follows:
$344 for single occupancy
$376 for double occupancy ($188 per person.)
These rates included a full breakfast and resort fees.
Instructions for booking rooms will be emailed with acceptance letters, about two weeks after the application deadline. Regardless of which hotel you choose, please be mindful of their cancellation policy. At Aspen Meadows Resort, deposits are non-refundable if the cancellation of all or any portion of your stay occurs fewer than 30 days from arrival. We recommend travel insurance if you are worried about having to cancel your trip due to an emergency.
We do not block as many rooms as there are participants in a conference because many people share. The available rooms are on a first-come, first-served basis. If the room block is full, you may not be able to get a reservation at Aspen Meadows Resort, or may have to pay a premium price. We recommend that you book your lodging when you receive your admittance letter. You are welcome to shop online for other rooms in Aspen as well.
Shared Hotel Rooms (at the Aspen Meadows)
At the Aspen Meadows, a limited number of rooms are available with two queen beds. Additional rooms are available to share with one physicist in a king bed and another on a pullout sleeper sofa.
You will have the opportunity to enter your name or find another name on a roommate list, should you elect to share a room. Instructions on making a shared reservation will be provided during registration. If you are admitted, you can also find the roommate finder in the “portal” by clicking “Login” or “My Account” in the top right corner of the website.
